IT Infrastructure Relocation Protocol

The zero-failure playbook for moving servers, data centers, and workstations in Dubai.

IT Relocation Glossary

  • Rack-and-Stack: The physical process of unmounting hardware from server racks and remounting it at the destination.
  • Flight Case: Hard-shell, foam-lined cases designed specifically for transporting sensitive server units.
  • Cable Management: The organization of cables (patch cords, power) to ensure airflow and accessibility.

Why Protocol Matters

Moving furniture is about strength. Moving IT is about precision. This protocol ensures you avoid:

  • Data corruption or loss
  • Physical hardware damage
  • Extended network downtime
  • Cabling spaghetti at the new site
  • Configuration errors
  • Voiding hardware warranties

Phase 1: Pre-Move Audit (The Blueprint)

You cannot move what you haven't measured. 4 weeks before the move, conduct a full audit.

  • Label Every Cable: Use a label printer. Label both ends of every patch cable.
  • Map the Racks: Take photos and draw diagrams of the current rack layout.
  • Backup Everything: Ensure the 3-2-1 backup rule is active (3 copies, 2 media types, 1 offsite).

Phase 2: The Physical Move

When hiring IT relocation services, ensure they use:

  • Anti-Static Bags: For all open circuit boards or components.
  • Server Lifts: Never manually lift heavy 4U servers.
  • Air-Ride Trucks: Suspension matters. A bumpy truck ride can unseat internal components.

Phase 3: Recommissioning

Speed is key, but not at the expense of accuracy.

  • Rack & Power: Mount the UPS first (heaviest), then servers. Connect power but do not turn on.
  • Cabling: Reconnect network cables according to your map. Use velcro ties, not zip ties.
  • Power On Test: Power up sequentially. Check LED status lights immediately.

IT Moving FAQs

Should we move the servers ourselves?

We strongly advise against it. Personal vehicles lack air-ride suspension, and liability insurance won't cover self-moved data loss. Use specialist server moving.

How long should we expect email to be down?

Ideally, moving happens over a weekend. If planned correctly, email servers (if on-premise) should be down for no more than 12-24 hours.

Do you provide insurance for hardware?

Yes, ask about our specific "Hi-Tech" value insurance which covers electronic circuitry damage, not just physical dents.

Can you handle workstation setup?

Yes, our PC disconnect/reconnect service includes cable management, monitor arm installation, and peripheral testing.

What about the ISP connection?

You must coordinate with Etisalat/Du 4 weeks in advance to ensure the new line is active before move day.

How do we transport large photocopiers?

Large MFPs contain ink/toner and sensitive drums. They must remain upright and locked during transport. We use specialized ramping for this.

Is it safe to move servers in summer?

Only if using climate-controlled trucks. Servers can overheat or suffer condensation damage if moved from a cold data center to a hot truck.
